Patient records digitization - Scanning and archiving with Rhenus Docs to Data

Managing and archiving physical patient records is labor-intensive, especially since they must be archived for 30 years to be in compliance with legal retention periods.
By scanning and digitizing your patient records, you can save valuable time as well as costs, space and resources.
As an experienced scanning service provider, we can guarantee the data protection-compliant digitization of your patient records.

Reduce your staff's stress and always have valuable and vital information quickly at hand through digital patient records.
With the secure and professional digitization of records, we also classify and index them.
This supports you in digital archive management.
Digital archive management allows you to search, manage and process electronic case files.
This way, you can easily view documents, add annotations and comments as well as quickly and easily track information.
The digitized information from the patient record is available to you regardless of location, whether on the wards, in controlling, or in the archive.

Once your data has been recorded, it is stored securely. Afterwards, it can no longer be changed, falsified or manipulated.
The security of your data is the top priority for Rhenus Docs to Data.

The digitization process of your patient records - We prepare your digital record management

We digitize both completed and open patient records. Below, you will find an overview of the scanning process for completed medical records.

If desired, we will pack your records on-site and transport them to one of our digitization locations.

Depending on the amount of patient records, they are temporarily stored in our secure archives and continuously digitized.
If you need stored records, we will of course provide them either via scan-on-demand or physically.

Before your records are digitized, our trained staff prepares them.

We then digitize your patient records using our high-performance scanners, scanning both the front and back sides and performing a double-feed check.
This ensures that the records are complete and that no information is lost.

To help you find patient records faster, we use OCR text recognition, ensuring that the original image remains unchanged.
This allows you to search the digital patient record using keywords more quickly.

Patient records are securely encrypted and stored during the scanning process and transferred to the software you use.

In collaboration with our sister companies Rhenus Archiv Services and Rhenus Data Office, we can offer you legally compliant and certified archiving and destruction of your patient records
